In the fictional example, the revised budget is 41,500 USD. Payments of 12,000 plus expected remaining costs of 31,000 put the forecast at 43,000. That is 1,500 above the revised budget.
Approved changes update the authorized amount. You keep the remaining estimates current as your expectations change.
THE DELIVERED WORKBOOK
Explore five views of the working file. All figures and contractor names are fictional USD examples. The customer template starts blank; Rental Delay is optional.
Set your project currency, available funds and review date. The overview brings together budget, payments, forecast and open items. This example has 45,000 USD available and a forecast of 43,000 USD.
Enter a unique Item ID, original budget and remaining estimate. Recorded payments and approved changes feed the matching item. Here, 12,000 paid + 31,000 remaining = 43,000 forecast, 1,500 above the revised budget.
Use the same Item ID as Budget. Record one row per payment milestone and update its cumulative paid amount after partial payments. The example shows paid, outstanding and overdue milestones as of 3 October 2026.
Only Approved changes update the revised budget. The 1,500 electrical change is included; the proposed 700 and rejected 400 are excluded. Update the remaining estimate separately when expected costs change.
Compare the same scope and enter estimates for exclusions and allowance gaps. The lowest headline quote, 18,000, becomes 22,000 after these estimates. Record reference and credential checks yourself.
